JOB SUMMARY Under general supervision, the Contract Specialist works closely with the Sales department, Financial Services and the Quality Assurance departments by generating the required legal documentation (contracts) for all vacation ownership sales and performing related tasks in order to complete the transaction in an accurate and expedient manner.

ESSENTIAL JOB FUNCTIONS

  • Reviews purchase proposals for accuracy and legibility.

  • Performs data entry on legal contracts between the Company and its clients, to include incentive letter preparation and processing down payments.

  • Retrieves credit, loan, and account history of prospective clients.

  • Reviews contracts for accuracy and completion (i.e., signatures, address, financing, etc.).

  • Follows up with the sales sites for corrections and recording errors.

  • Prepares contracts for recordation by making copies and creating packs for distribution.

  • Copies purchase proposals, club documents, etc., and transmit to appropriate departments.

  • Tracks, monitors, and transmits money from sales, cash outs, etc., including deposit transmittals.

  • Reconciles daily batch transactions.

  • Prepares opening and closing reports and distributes them to the appropriate team members.

  • Maintains various sales and/or marketing logs.

  • Maintains the Atlas database.

  • Prepares owner kits using various sales and marketing collateral, makes copies, and compiles/organizes contract packs.

  • Responsible for supporting sales sites, as necessary, to complete paperwork generate contracts.

  • Assists the sales and verification departments regarding owner-related issues at point of sale or after.

  • Communicates with the sales sites and corporate departments via email and telephone.

  • Answers telephones, files documents, operates office machinery (i.e., computer, copy machine, fax machine) and performs general clerical duties.

  • Performs miscellaneous data entry and document preparation in support of other departments.

  • Completes all required company training/compliance courses as assigned.

  • Adheres to company standards and maintains compliance with all policies and procedures.

  • Performs other related duties as assigned.
    EDUCATION

  • High School Diploma or equivalent. EXPERIENCE

  • A minimum of one (1) year of experience in the contracts field or similar and/or vacation ownership industry.

  • A minimum of one (1) year of supervisory experience. SUPERVISORY RESPONSIBILITIES This position p rovides immediate supervision to direct reports. Oversees and controls the work performance of others in a close working relationship, often in the same room or close proximity. A portion of the time may be spent performing individual tasks similar to those performed by direct reports. May participate in the interview, selection and training processes as assigned. May be responsible for assigning work to direct reports, reviewing results in accordance to policies and procedures, and providing recommendations to management.

    LICENSE & CERTIFICATIONS

  • This position does not require licenses or certifications. SKILLS & ABILITIES This position requires the capability to understand and follow both oral and written directions as well as knowledge and usage of correct business English and office practices. Must be able to communicate effectively with others, analyze and resolve problems, maintain effective working relationships, and interact successfully with internal and external customers.

    Specific skills and abilities include, but are not limited to the following:

  • Computer proficiency in Microsoft Word, Excel and Outlook.
